Office Relocation Checklist — Zero Downtime Move Plan

The exact 6-week countdown we use for corporate clients so Monday morning everyone is at their new desk, online.

An office move is a project, not a task. The companies that do it well start six weeks out and delegate execution to a single mover. Here's the countdown template we hand our HITEC City, Gachibowli and Financial District clients.

Week -6: audit and appoint

  • Inventory every workstation, server, printer, meeting room asset
  • Photograph existing IT setup for reassembly reference
  • Appoint an internal move captain and a single mover

Week -4: floor plan and IT prep

  • Finalise new-office seating plan with department heads
  • Coordinate with ISP for internet at new site 5 days before D-day
  • Back up all servers and mission-critical workstations

Week -2: comms and packing kits

  • Employee memo with new address, parking, entry pass details
  • Colour-coded label kits (one colour per department)
  • Confirm elevator bookings at both buildings

Move weekend: the execution

Friday 6 PM: crew arrives, packs, colour-labels, loads. Saturday: transit and unload into pre-marked zones. Sunday: IT reassembly, workstation setup, network testing. Monday 9 AM: employees walk in, plug in, work.

The one thing most offices get wrong

Underestimating cables. Every workstation has 4–8 cables. Multiply by 45 desks — that's 300+ cables. We colour-code and bag them per-desk. Without that, IT reassembly takes days instead of hours.
